Most social media mistakes are not creative mistakes - they are process mistakes. A photo nobody checked, a price that changed, a caption that went live before the client saw it. When content lives in chats, emails and loose folders, someone eventually publishes the wrong version.
A content calendar with a clear approval workflow fixes that. It is not red tape: it is how every post gets an owner, a date and a sign-off before it goes out.
The states every post should move through
In our Client Portal every piece moves through the same states. You can copy this structure even if you use a different tool:
- Idea: the topic, goal and format (post, story or video). No creative yet.
- In production: the team designs, shoots or writes.
- In review: the client sees the creative, the caption and the scheduled date.
- Changes requested: the client leaves a specific comment about what to adjust.
- Approved: ready to schedule.
- Scheduled and published: the platform publishes it at the set time.
Rules that make it work
- Nothing goes live without approval. If a piece is not approved, it does not get scheduled, even if the date is close.
- Feedback lives on the piece, not in the chat. The history stays next to the creative and nobody loses context.
- One person approves on the client side. Two approvers with different opinions are the most common cause of delays.
- Plan at least a week ahead. Reviews come back late more often than you would expect.
Auto-publishing: fewer manual tasks, fewer misses
Once approved, content should publish itself. Instagram, Facebook and TikTok offer official APIs for scheduling posts from external tools, so you do not depend on someone being online at the exact time. You also get a clear record of what went out, when and where.
What to measure every month
- How many pieces were approved on the first pass and how many needed changes.
- How long it takes to go from "in review" to "approved".
- Which formats generate more messages and comments, not just more reach.
With those three numbers you can shape next month’s plan with more than gut feeling. If you want to see this workflow in the Client Portal, message us and we will give you a demo.
